Role Description:
The Unity Festival Coordinator, reporting to the Director of Development and Communications and the National Program Director, is the key individual that executes all logistics and administration related to the annual Unity Festival. The yearly festival is a celebration of Unity’s programs that features youth performances, local artists, headliners and competitions, and partners with major sponsors, media and other key stakeholders.
Going into its 13th year, the Unity Festival has traditionally taken place in Toronto. However, UNITY Festival 2020 will feature a series of interconnected events in Winnipeg, Halifax, and Toronto from May to July 2020. These events will showcase the best emerging artists in each city, promote cross-regional artistic programming, and create opportunities for artists to build audiences and networks outside their home base.
This role is a full-time, 5-month contract with a start date of March 11, 2020. This role will involve travel to Winnipeg and Halifax in May and June 2020.
Key Requirements:
Post-secondary education in Events Management, Special Events Planning, Music Business Administration, Event and Media Production, or a minimum of 2 years’ experience coordinating citywide or multi-city events and/or festivals
Experience in the Hip Hop community on a national level, knowledge of Hip Hop culture & its related art forms is considered an asset.

Positive team player, self-motivated, and excellent communicator with the ability to coordinate with interdepartmental teams and with multiple stakeholders

Act in accordance to Unity’s Behavioural Code of Conduct and exercise professional judgment in all scenarios involving youth and external stakeholders
Must be willing to travel; Driving is an asset, but not required
Knowledge of the art forms that are used in Unity programs is a definite asset
Role Responsibilities:
Leading up to Festival Events (March to May)
Act as a centralized communication & information hub for team members and other Festival stakeholders as the first point of contact for day-to-day inquiries regarding the UNITY Festival
Arrange and coordinate Festival meetings, prepare materials, take notes, etc.
Work with Festival Committee, Programs Teams & Community Partners to develop and update project plans/deliverables; Track progress of this including expense budgets, timelines and deliverable status
Coordinate the rental of event venues, assist in creating event floor plans and determine event signage needs
Assist in gathering tech riders from all performers, and coordinate equipment rentals to ensure all A/V tech requirements are met at all venues
Produce and track invoices and contracts with venues, vendors, artists, consultants, and ensure all cheque requests are submitted
Coordinate travel and accommodations for event staff and artists
Coordinate the shipping of Unity Shop merchandise, event materials and signage, and Unity promotional materials to all events
Coordinate “green room” refreshments for all event staff, volunteers, and artists
Assist in determining volunteer needs for each event, and work with Volunteer Coordinator to ensure enough support is gathered for on-site set up and tear down of events
During the Festival Events (May to July)
Ensure execution of all of the above, including ensuring all A/V rentals, events materials, merchandise, and signage are onsite
Act as point person for event vendors, photographers and videographers
Ensure all cheques for venues, vendors, and artists are produced and on-hand for distribution at the events
Assist in ensuring all sponsor activation requirements at all festival events are met
After the Festival Events (July to August)
Ensure all artist, venue and vendor fees have been paid out
Assist in organizing and entering event attendee registration information into database
Assist in producing sponsorship fulfillment reports
Provide feedback and recommendations from your own experience in this role
